Getting Started

The basics.

What does an AI consultant do for small businesses?

An AI consultant audits your operations, identifies workflows AI can improve, builds the ROI model, selects the right tools, designs governance, and either builds or oversees the production system. At Heed AI Solutions we deliver all of that end-to-end in 8 to 16 weeks for most SMB engagements. See the AI Consulting for SMBs pillar for the full framework.

Is AI worth it for my business?

For most SMBs, yes — when AI is scoped to a real workflow bottleneck rather than a general "digital transformation" initiative. 91 percent of AI-adopting SMBs report revenue growth. The risk is picking the wrong first project. Use our free ROI calculator to get a specific estimate for your situation.

How is this different from ChatGPT or Microsoft Copilot?

ChatGPT and Copilot are tools. We build systems on top of those tools, integrated with your data, workflows, and governance. The tool is roughly 10 percent of the work. The integration, the workflow design, the error handling, and the governance are the other 90 percent.

Where do I start?

Book a 15-minute discovery call. We talk through your operations, identify the workflows most likely to benefit, and often produce a rough ROI estimate on the call itself. No pitch, no pressure.

Cost and Timeline

Pricing and payback.

How much does AI consulting cost?

A Pilot engagement runs 2 to 4 weeks at $6K to $15K. The Growth Program runs 8 to 16 weeks at $25K to $50K. Full Scale engagements start at $50K. Every project begins with a free 15-minute discovery call and a written ROI model. See How We Work for the full breakdown.

How long does it take to see results?

Most clients see measurable results in the first week. The average payback on an $8,000 pilot is approximately 74 days. Average first-year ROI across engagements is 340 percent. See the AI ROI Measurement pillar for worked examples.

What is the typical first-year ROI?

340 percent average across engagements. Range: 150 percent (conservative efficiency gains) to over 1,000 percent (hire-avoidance scenarios). The single largest ROI driver is avoided hiring cost.

Can I start small and scale up?

Yes. Most clients begin with a Pilot ($6K-$15K) on one workflow, measure the result, and decide from there. If the pilot does not hit the ROI projection, you do not commit to more. If it does, we scope the next phase.

Governance and Compliance

Safety, security, and audit.

Is AI safe for HIPAA, legal, or financial data?

Yes, when implemented correctly. We are CISA certified, ISO 27001 Lead Auditor qualified, and every deployment is aligned to ISO/IEC 42001 and the NIST AI RMF. Every system includes human-in-the-loop safeguards, full audit trails, and data governance protocols. Zero security incidents across all production deployments.

What if the AI makes a mistake?

Human-in-the-loop checkpoints are standard for any decision involving customers, regulated data, or material dollars. The AI proposes; a named human approves. Error rates are measured and logged, and every system has a documented incident response process.

Do I need ISO 42001 certification?

Certification is only required if an enterprise customer is asking, you sell into a regulated market, or your board has set it as an objective. Most of our clients design to be ISO 42001 compatible without formal certification — most of the contract-winning value for a fraction of the effort. Full breakdown in the Governance pillar.

Where does my data go?

Most deployments keep your data in systems you already control (Azure, AWS, Google Cloud, on-prem) with API calls to vetted AI providers (Anthropic, OpenAI, Google) under enterprise agreements that exclude training use. We document the full data flow for every system we build.

Technical and Integration

How it fits with what you already use.

Will this work in my existing tools?

Yes. Every solution is built to integrate with Microsoft 365, Google Workspace, Salesforce, HubSpot, NetSuite, QuickBooks, custom ERPs, and industry-specific platforms. We do not require you to replace what is working.

Which AI models do you use?

We select the model based on the task: Claude (Anthropic) for long-context reasoning and tool use, GPT (OpenAI) for generalist tasks, Gemini (Google) for multimodal. For some workflows we build custom fine-tuned models. No model lock-in — your system architecture supports swapping models as the landscape evolves.

Do I need technical staff to maintain the system?

Not usually. Most systems we build run on managed cloud infrastructure with monitoring included. Ongoing maintenance is 2 to 6 hours per month for most SMB systems. For clients without IT, we offer a managed support retainer.

Can I see a live demo?

Yes. Our Examples page has two live interactive demos: the CompanionAI senior-living app and the Avocado Importer executive BI dashboard. Click around, interact, see how real AI systems feel.

Who We Serve

Fit and scope.

What industries do you work with?

Healthcare, legal, professional services, food and beverage processing, distribution, creative production, general contracting, and hospitality. Production case studies in every one of these. See Examples.

What company size is the right fit?

Typical clients: 25 to 250 employees. Below 10 employees, off-the-shelf SaaS is usually enough. Above 250, enterprise consultancies are often a better fit — though we do selective work above that range.

Do you work with companies outside Los Angeles?

Yes. Most engagements run remotely with scheduled on-site sessions for kickoff, stakeholder interviews, and go-live. We serve clients across the US and LATAM. For local clients in the West San Fernando Valley, in-person meetings are common.

Do you work in Spanish / with LATAM businesses?

Yes. We serve bilingual operations and cross-border businesses across Mexico and the US-LATAM corridor. Deliverables can be produced in English, Spanish, or both.

Working With Us

Process and next steps.

What happens on a discovery call?

A 15-minute conversation about your operations, the workflow you think might benefit from AI, and your timeline. No pitch. Often we finish with a rough ROI estimate on the call itself. If there is fit, we follow up with a written proposal. If not, we say so.

What is a fractional Chief AI Officer (vCAIO)?

A part-time AI strategist — typically 10 to 40 hours per month — for ongoing strategy, governance, vendor evaluation, and team coaching. See the vCAIO retainer page for detail.

Do you offer training or workshops?

Yes. Half-day and full-day AI adoption workshops for business owners and executive teams. Michael also speaks at chambers, conferences, and private leadership retreats. See Events for the schedule.
