Comparison Guide
AI Consultant vs Automation Agency.
Both will sell you "AI automation." They do very different things. This guide lays out the scope, cost, deliverables, and decision framework, so you pick the right fit the first time.
Side by side.
When to pick each.
Pick an AI Consultant if...
- You are not yet sure where AI fits in your business
- You operate in a regulated industry (healthcare, legal, financial)
- Your board, insurer, or enterprise customers will ask about AI governance
- You want a written ROI model before you spend a dollar
- The workflow involves custom AI reasoning (not just if-this-then-that)
- The stakes of getting it wrong are high
Pick an Automation Agency if...
- You already know exactly what to automate
- The workflow is simple and well-understood
- You have internal oversight on governance
- Budget is tight and speed matters more than strategy
- You are comfortable with an off-the-shelf tool (Zapier, n8n, Make)
- The risk of getting it wrong is low
The real questions.
Do I need both?
Usually no. A good AI consulting firm like Heed AI Solutions includes build capability and governance design in the engagement. Hiring both creates friction, overlapping scope, and finger-pointing when something breaks.
Which is cheaper over the full lifecycle?
Agency upfront is lower. Total cost of ownership often favors the consultant because agencies produce rework when initial scope was wrong. Pay once with a consultant, or pay twice with an agency and then a consultant to fix it.
Is an AI consultant worth it for a 15-person company?
If the workflow you want to automate touches customers, regulated data, or meaningful revenue — yes. For internal-only simple automations, an agency or DIY tool is usually sufficient.
